Complete guide to distributing content through the Communication Hub — channel selection, scheduling, recipients, reminders, and due dates.

Communication Hub: Distribution Guide

The Communication Hub is the recommended way to distribute content to your employees. It lets you send Bites, Playlists, and Quizzes directly to employees' phones through their preferred communication channel.

How to Access

Tap the Share button on any Bite, Playlist, or Quiz, then select Share with Bites.

Step 1: Select a Channel

After tapping "Share with Bites," you'll see your available distribution channels. The screen displays three channels and a More button.

Available default channels include:

  • WhatsApp

  • SMS

  • Email

  • Slack

  • Microsoft Teams

  • Beekeeper

  • WorkJam

Note: Adding more channels and changing the order in which channels appear in the modal can be modified through your account manager.

Channels that your organization has access to appear first. Channels that are not available to your organization appear greyed out. If only one channel is enabled, it will be automatically selected.

Tap More to see the full list. If you select a channel not shown in the initial three, it will replace one of the visible options for next time.

Step 2: Distribution Details

Once you select a channel, you'll see the Distribution Details screen with the following fields:

Message

A message template is pre-selected by default (the first available template in your organization, or the message template your organization defined as the default). Tap the message name to browse other templates with a preview. You can search for specific templates using the search bar.

For channels that support free-text input (e.g., Beekeeper), you'll see a pre-filled editable message. Tap the pencil icon to edit, and tap Done when finished. A "Reset" option appears if you've edited the original message.

You can add placeholders to your message: Full Name, Organization Name, and Bite Name.

Send to Myself

Use the "Send to Myself" button to preview the distribution by sending it to yourself first. If you don't have the required contact info on file (e.g., no phone number for SMS), you'll see an error message.

When (Scheduling)

By default, the distribution is set to Now. Tap the "When" field to choose a different time:

  • Now

  • Tomorrow Morning, 8 AM

  • Tomorrow Afternoon, 12 PM

  • In Two Days, 8 AM

  • Custom (select a specific date and time)

Note: For distributions scheduled more than a week ahead, use only user attributes for recipient selection.

Send To (Recipients)

No recipients are selected by default — the Share button stays disabled until you choose who should receive the content. Tap the "Send To" field to open the recipient selection screen.

You can select recipients in two ways:

By Attributes: Select groups of employees based on organizational attributes (location, role, department, etc.). Choosing values from different attributes narrows the list — for example, selecting Location = "New York" and Job = "Waiters" will distribute only to waiters in New York.

By People: Browse and select individual employees from your workspace. A search bar lets you find specific users. Each user's attributes and channel availability are shown in the search results.

A Send to Myself toggle is available in the recipient screen. It's off by default, but turns on automatically if you select yourself through search or attributes.

A Select All button is available in both views and selects all users in the workspace, including those without attributes.

You can combine both views — select attribute groups first, then switch to the people view to fine-tune. The people view will automatically filter to show your selected users, with an option to remove or adjust the filter.

If some selected recipients don't have the chosen communication channel on file, an info icon will appear next to the recipient count showing how many users out of the total will actually receive the distribution. Tap "Show me" to see which users are missing the channel.

If your workspace has no attributes configured, the recipient screen defaults to people view.

Sharing Settings

Configure the privacy level for your content. See Sharing Settings & Privacy for details on available options.

Reminders

No reminder is set by default. Tap "Reminder" to configure:

First Reminder: Set to 23 hours after distribution by default. You can choose the 23-hour option or set a custom time.

Repeat Reminder: Available after you set the first reminder. Configure a recurring cadence:

  • Choose to repeat by week or by days

  • Select which days to send reminders

  • Set an end date or a number of occurrences

Reminders are sent only to users who haven't watched the content.

Note: If you schedule a distribution and then set a reminder, the reminder must be after the distribution date. If dates overlap, the reminder will reset.

Due Date

By default, the due date is set to 7 days after the distribution date. Tap to change:

  • Tomorrow, 8 AM

  • In a Week, 8 AM

  • In Two Weeks, 8 AM

  • In Three Weeks, 8 AM

  • Custom (specific date and time)

Step 3: Share or Schedule

If the distribution is set to Now, the button reads "Share." If it's scheduled for later, it reads "Schedule Distribution."

Immediate distributions: After tapping Share, a 15-second countdown gives you a chance to cancel or send immediately. A confirmation screen shows the total number of recipients and a breakdown by channel.

Scheduled distributions: A confirmation screen shows the scheduled date, total users, and channel breakdown before finalizing.
